Maternity Cover – Administrative & Accounts Support
Roles & Responsibilities:
Admin & Office Support:
- Provide daily office administration and coordination across departments
- Manage office tasks, including filing, reports, and presentations
- Handle incoming calls, weekly mail collection, and scheduling of appointments and meetings
- Maintain HR processes and systems
- Oversee general office operations, facilities, assets, and office policies
- Ensure pantry and office supplies are adequately stocked
- Perform ad hoc administrative duties as required
Internal & Client Accounts Servicing Support:
- Handle day-to-day accounting operations, including invoicing, purchase orders, delivery orders and monthly payables
- Liaise with vendors and customers to resolve financial inquiries and process payments
- Assist with data entry and ensure accuracy in accounting records
- Perform weekly bank reconciliations for month-end and year-end closing
- Maintain company secretarial records in compliance with regulatory requirements
Project Support:
- Coordinate with print suppliers, vendors, and logistics providers
- Set up and update tracking sheets for campaigns and programs
- Assist in executing marketing activities, including printing, production, packaging, and event collateral delivery
- Ensure completeness of delivery orders and follow up as needed
- Support ad hoc projects as required
Requirements:
- Excellent command of English, both written and spoken
- Minimum 1-2 years of relevant work experience
- Proficient in QuickBooks Online, Microsoft Word and Excel, and client invoicing platforms including Ariba and Coupa.
- Meticulous with strong attention to detail, accuracy, and deadlines
- Able to perform under tight time constraints and multitask effectively
- Proactive, self-motivated, and able to work independently
- Courteous, confident, and collaborative
- Available to start immediately or within a short notice period
