Job Description
General administrative support in AHD
a) Meeting and Event Support: Organise meetings, workshops, seminars and events, including logistics coordination such as venue booking, refreshment arrangements, material preparation and printing, and stationery procurement
b) Travel and Trip Administration: Support officers with travel preparations and post-trip activities, including sourcing appropriate gifts, researching and booking accommodations and flights, managing gift declarations, and processing expense claims
c) Data Management and Verification: Verify and validate information across various data sources and spreadsheets, and consolidate data from multiple agencies for updating purposes in Excel and other Microsoft Office applications
d) Procurement and Vendor Coordination: Source quotations from suppliers for various purchases as required by the department
e) Stakeholder and Communication Support: Prepare and maintain stakeholder lists for correspondence such as greeting cards and other communication purposes
Coordination support for major events
Programme and Event Coordination: Support the Division's execution of major programmes and events through logistical arrangements, administrative tasks, and coordination with suppliers, internal teams, and external partners, whilst overseeing registration processes and tracking participant responses
Meeting Administration and Follow-ups: Provide administrative support including meeting scheduling, documentation preparation, and ensuring completion of subsequent action items
Simple Research and Documentation Support: Contribute to AHD’s ongoing workstreams through support on background research, document reviews, preparation of briefing materials, correspondences, and formatted presentation materials
Any other tasks assigned by division members or supervisors
Requirements
Degree in field related to General Admin, Project Management, Data Management
Good digital literacy and office administrative skills
Meticulous with attention to detail
Team player who thrives in a collaborative environment
Working Schedule
Mon – Thurs: 8:30am-6:00pm
Fri:8:30am-5:30pm
Hybrid work arrangement
