This role sits within the Business Support function, supporting large-scale departmental governance and business management activities. The incumbent will provide end-to-end secretariat support for key meetings, ensuring smooth coordination, strong follow-through, and effective stakeholder engagement across multiple teams.

Key Responsibilities
Provide secretariat support for monthly and ad hoc meetings across the department
Prepare and circulate meeting minutes promptly for review and approval
Track and follow up on action items to ensure timely closure before subsequent meetings
Send out meeting invites and agendas in advance to all stakeholders
Coordinate presentation materials and manage presentation flow in line with committee expectations
Liaise with stakeholders across different teams to ensure alignment and readiness for meetings
Support ad hoc administrative and coordination tasks as assigned by the team
Utilise MS Teams and CoPilot to support meeting management, documentation, and coordination
Requirements
Minimum 5 years of relevant experience in secretariat in Financial Institutions
Experience supporting large teams or departments; comfortable handling high-volume coordination and multiple stakeholders
Meticulous with strong attention to detail, especially in minutes taking and tracking action items
Strong communication skills; clear, professional, and able to manage expectations effectively
Proficient in Microsoft Office applications, especially Outlook, Excel, PowerPoint, and MS Teams; familiarity with CoPilot is an added advantage
Comfortable working in a structured, fast-paced environment
