Our client, a global banking organization, is seeking an experienced Office Administrator to support day-to-day office operations and facilities management within a fast-paced corporate environment.
This role requires a proactive and organized individual with strong experience in office administration, vendor coordination, and operational support. You will play a key role in ensuring smooth workplace operations, managing administrative processes, and supporting internal teams.
Candidates who can start on short notice will be preferred.
The Talent
Minimum 3 years of experience in office administration (in a large office set up)
Strong understanding of office management procedures and policies
Proficient in Microsoft Office (Excel, Pivot Tables, PowerPoint, Word, Outlook)
Excellent organizational and time management skills with ability to multitask
Strong interpersonal and communication skills across all stakeholder levels
Detail-oriented, resourceful, and able to work independently
Adaptable and comfortable working in a fast-paced environment
The Job
Office Operations & Administration
Manage incoming/outgoing mail, deliveries, and visitor reception
Maintain a clean, organized, and well-functioning office environment
Oversee office supplies, pantry inventory, and equipment management
Facilities & Vendor Coordination
Coordinate with vendors, contractors, and service providers for maintenance and office services
Oversee facilities-related issues to ensure smooth daily operations
Travel & Logistics Management
Arrange business travel, hotel bookings, and temporary accommodation
Support visa and work permit application processes
Coordinate logistics for office-related requirements
Access Control & Compliance
Manage office security access, including card issuance and access rights
Ensure adherence to company policies and operational procedures
Meetings & Event Coordination
Organize meetings, town halls, and internal events
Coordinate bookings, logistics, and administrative support for sessions
Administrative Support & Coordination
Collaborate with cross-functional teams to support daily operations
Handle documentation, reporting, and ad-hoc administrative tasks
Ensure smooth communication and coordination across stakeholders
