We are looking for a Project Administrator / Coordinator to support construction projects based in Kaki Bukit. This is a permanent position working 6 days a week (Mon–Fri 9:00am–6:00pm, Saturday work-from-home), offering a competitive salary of up to $3,500 with AWS and Variable Bonus. The role focuses on coordinating project documentation, supporting site and office communication, and ensuring smooth administrative operations across multiple construction activities.
What You’ll Be Doing
- Organize and maintain project documentation, including drawings, files, and correspondence, ensuring proper filing and record management.
- Assist with submitting permits, drawings, and required documents to consultants, architects, and authorities such as BCA, SCDF, and HDB.
- Monitor and follow up on quotations, purchase orders (PO), delivery orders (DO), and invoice approvals while verifying invoices against delivery records and site usage before submission for payment.
- Source potential suppliers and subcontractors, request quotations, and maintain an updated vendor and materials database for each project.
- Coordinate material procurement and delivery schedules to ensure timely supply to project sites.
- Maintain project tracking records including schedules, material lists, progress updates, and photo documentation for reporting purposes.
- Assist with tender submissions and contract-related documents such as quotations, work orders, and variation orders.
- Follow up with consultants to ensure timely submission of reports, certifications, and required documentation.
- Act as a liaison between the office team, site supervisors, and clients to support project coordination, including arranging site access and ensuring necessary documents are available on-site.
- Support the preparation of progress claims, monthly billing, completion reports, and defect lists while tracking submissions and maintaining cost and budget records.
- Assist the Project Manager in scheduling meetings, preparing meeting minutes, tracking action items, and compiling monthly reports.
- Coordinate with the accounts team regarding supplier payments and reimbursements.
- Perform additional administrative or operational duties as assigned.
What We’re Looking For
- 1–3 years of relevant experience in the construction or interior design industry.
- Proficiency in Microsoft Excel, Microsoft Word, and project tracking tools.
- Strong coordination and communication abilities when working with internal teams and external stakeholders.
- Basic understanding of accounting processes such as PO, DO, and invoicing will be advantageous.
