Administrative Executive (Tuas) (Hybrid / Up to $4k + AWS + VB)
Responsibilities
Manage daily administrative and office operations to ensure smooth workflow
Maintain office documents, filing systems, records, and administrative databases
Prepare and process internal documents, reports, and correspondence
Coordinate office support and handle internal administrative requests
Monitor office supplies and coordinate procurement and replenishment
Prepare and manage employee work schedules and attendance tracking
Coordinate work-from-home arrangements and employee scheduling logistics
Arrange business travel including flights, transportation, and itineraries
Coordinate accommodation bookings for visitors and business guests
Support meeting logistics, visitor coordination, and company events
Process monthly expense claims and maintain accurate records
Track invoices and support payment-related administrative tasks
Liaise with HR on administrative matters and employee documentation
Support monthly HR coordination and internal communication
Handle ad-hoc administrative duties as assigned
Requirements
Minimum 1–2 years of experience in administrative, office management, or secretarial roles
Experience in travel arrangement, scheduling, and expense processing
Familiarity with office administration procedures and documentation management
Proficiency in Microsoft Word and Excel
Experience working in a Japanese or multinational company environment is an advantage
