We are assisting an established private investment company in the search for a Junior Executive Assistant to provide dedicated support to its Chairman. This is an excellent opportunity for a resourceful and dependable individual who enjoys working independently and managing a mix of corporate and personal matters.
Key Responsibilities
Manage the Chairman’s calendar, meetings and appointments, including scheduling across multiple time zones.
Maintain regular communication with the Chairman during his travels and ensure that instructions and follow-up actions are accurately recorded and completed.
Arrange business and personal travel, including flights, accommodation, visa applications, ground transportation and detailed itineraries.
Prepare, format and proofread correspondence, reports, presentations and other documents.
Manage paperwork and administrative matters relating to the Chairman’s subsidiaries, investments and personal affairs.
Coordinate matters relating to overseas properties, including utility payments, service providers and supporting documents.
Assist with expense claims and reimbursements for the Chairman and his family.
Liaise with the Chairman’s personal chauffeur and provide administrative coordination when required.
Maintain organised physical and digital filing systems for efficient document retrieval.
Process invoices, payments, expense records and supporting documents accurately and promptly.
Handle confidential corporate, personal and family matters with professionalism and discretion.
Liaise with internal teams, business associates, guests and external service providers on the Chairman’s behalf.
Provide general administrative and document-management support.
Undertake ad hoc assignments relating to the Chairman’s office.
Key Requirements
Bachelor’s degree in Business Administration, Communications or a related discipline is preferred.
Minimum 3 years of experience in an administrative, secretarial, personal assistant or executive support role.
Strong organisational and time-management skills, with the ability to manage multiple priorities independently.
Patient and attentive communicator who is comfortable receiving instructions remotely or over the telephone.
Confident in communicating with senior stakeholders and individuals from diverse cultural backgrounds.
Strong written and spoken English.
Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
Meticulous and accurate in correspondence, record-keeping, claims and document preparation.
Sound judgement and the ability to manage confidential information with integrity.
Resourceful, adaptable and comfortable working with minimal supervision.
Willing to accommodate occasional communication outside standard working hours due to travel schedules or time-zone differences.
Practical, service-oriented and comfortable supporting both business and personal administrative matters.
