The Talent:
Minimum 5 years of experience in recruitment coordination, talent acquisition operations, executive assistant, team assistant, or administrative support roles.
Experience managing high-volume interview scheduling across multiple stakeholders.
Prior experience supporting regional teams or multinational organizations is preferred.
Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
Ability to handle confidential and sensitive information with discretion.
Strong attention to detail and accuracy.
Job Description
Support the interview scheduling logistics of assigned requisitions for professional positions, ensuring an efficient and effective service is delivered to the business.
Coordinate all elements of candidate interview logistics, including sending meeting invitations, booking rooms, organizing Video Conferencing and dial-in details.
Timely completion of manual tracking for scheduling
Accurate creation and distribution of employment documentation for new hires (On need to know basis)
Build and maintain strong relationships with the Recruiter and Hiring teams.
Participate in special projects and performs other duties as assigned. Take care of all administrative and technical assistance: calendar management, organization of business travel, entering receipts for expenses, processing mail, preparing responses, orders for office equipment setup, etc.
Organize and coordinates the manager's and team's activities.
Support in the organization of regional meetings.
Coordinates the arrival of new employees (transfer files, onboarding, IT, and telephone requests, etc.).
Put together and maintains files and aids for internal and external meetings, and drafts reports and minutes
Gather, communicate, and dispatch information throughout the team.
Handle delicate and unexpected situations and facilitates the resolution of ongoing problems.
If necessary, work in partnership and shares some of his/her assistantship activities with another assistant.
Coordinate and administer training and related activities for the team
