Role Overview: We are seeking a detail-oriented and proactive Operations Admin Executive to support the day-to-day functions of our Training Management Office. This role is critical in ensuring smooth coordination of training resources and seamless course delivery from preparation through completion.
Key Responsibilities
Coordinate and manage training resources, including trainers, venues, materials, and equipment.
Prepare course schedules, training documents, attendance records, and participant communications prior to training.
Provide on-site or virtual administrative support during training sessions to ensure smooth operations.
Monitor attendance, manage course logistics, and address operational issues promptly.
Perform post-training activities such as documentation filing, evaluation consolidation, and reporting.
Maintain accurate training records and ensure compliance with internal policies and regulatory requirements.
Liaise with internal stakeholders and external vendors to ensure efficient training execution.
Requirements
Minimum 1–2 years of administrative or operations experience, preferably in training coordination.
Strong organizational and multitasking skills with high attention to detail.
Proficient in Microsoft Office applications and digital documentation systems.
Good communication and interpersonal skills.
Ability to work independently and collaboratively in a fast-paced environment.
Preferred Attributes
Experience in training or learning & development environments.
Familiarity with compliance or regulatory training requirements.
Strong problem-solving skills and adaptability during live training operations.
