HR Executive / Senior Executive (HR Operations, Process Excellence & Projects)
Location: Bugis
Remuneration: $4,500 - $5,500 + AWS + VB
Summary
Employee lifecycle administration, HR documentation, HRIS updates, personnel records, reporting and operational coordination;
Review and improvement of HR processes, workflows, templates, forms, guidelines and SOPs;
Practical process simplification, standardisation and strengthening of operational controls;
Improvement process of HR Sector from manual to digitalisation, implement the automate of HR system
Support for HR systems, reporting tools, automation or digitalisation initiatives, including process mapping, requirement gathering, testing and implementation support;
Departmental, regional and cross-functional HR projects, including the preparation of reports, presentations and project updates.
HR Operations & Employee Lifecycle Support
Provide day-to-day support for HR operations and employee lifecycle processes, including onboarding, confirmation, employee movements, personnel record maintenance, HRIS updates, HR documentation, and offboarding administration.
Ensure HR documentation, employee records, and HR transactions are completed accurately, promptly, and in accordance with established policies, procedures, and service standards.
Maintain HR records, trackers, reports, and dashboards to support operational monitoring and management reporting.
Respond to employee and manager enquiries professionally, escalating matters appropriately when required.
Collaborate closely with HR team members and internal stakeholders to ensure the smooth and timely delivery of HR services.
Provide administrative and coordination support for recruitment and talent acquisition activities when required. Recruitment support will be an ancillary responsibility and not the primary focus of the role.
HR Process Excellence & Continuous Improvement
Review HR processes, workflows, and operating practices to identify opportunities for improving efficiency, consistency, service quality, and employee experience.
Support the enhancement, standardisation, and documentation of HR policies, procedures, templates, forms, guidelines, process maps, and Standard Operating Procedures (SOPs).
Identify opportunities to streamline manual processes, eliminate process gaps, and strengthen operational controls while ensuring compliance with company policies, governance standards, and HR best practices.
Partner with Regional HRIS personnel and relevant stakeholders to identify opportunities to optimise HR processes through existing HR systems, reporting tools, and approved technologies.
Support the business-side implementation of HR process improvement and digitalisation initiatives by gathering business requirements, mapping current and future-state processes, preparing test scenarios, coordinating User Acceptance Testing (UAT), and supporting change management and user adoption activities.
Provide practical HR operational insights and recommendations for system and process enhancements. Technical system configuration, administration, and overall HRIS ownership will remain under the responsibility of the Regional HRIS team.
Work collaboratively with HR colleagues to embed improved work practices and foster a culture of continuous improvement and operational excellence.
HR Projects & Organisational Initiatives
Support departmental, regional, and organisation-wide HR projects and initiatives aligned with business priorities and HR objectives.
Collaborate with HR team members and cross-functional stakeholders to deliver practical, integrated, and timely HR solutions.
Prepare and consolidate HR data, reports, presentations, process updates, and other materials to support project implementation, management reporting, and decision-making.
Coordinate, monitor, and follow up on assigned HR initiatives, ensuring project deliverables, timelines, risks, and stakeholder actions are effectively managed.
Review and maintain HR documentation to support ongoing operational improvements and project initiatives.
Perform other duties and responsibilities as assigned by the Reporting Manager or Management.
Job Requirements:
Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
At least 3–5 years of relevant experience in HR Generalist, HR Operations, or HR Shared Services. Candidates with more extensive relevant experience may be considered for a Senior Executive position.
Hands-on experience supporting employee lifecycle administration, HR documentation, HR systems, and HR data management.
Exposure to HR process improvement, workflow standardisation, process documentation, HR automation, HRIS enhancements, or HR project implementation will be an advantage.
Demonstrated ability to work effectively with HRIS teams, IT, and internal stakeholders by translating operational requirements into clear business requirements, process maps, test scenarios, and practical process improvement recommendations.
Ability to translate operational requirements into well-structured processes, templates, trackers, and documentation.
Experience working in a regional, matrix, or multinational environment will be an advantage.
Proficient in Microsoft Excel and experienced in working with HR reports and operational data. Exposure to SAP SuccessFactors or other HRIS platforms as a business user will be an advantage.
