The Global Sustainable Tourism Council (GSTC) is the leading international body for setting and managing global standards for sustainable tourism. We work with destinations, governments, tourism businesses, and international organizations around the world to drive real, measurable change toward more sustainable travel.
Our work includes developing and managing the GSTC Criteria, accrediting certification programs, providing training, and supporting partners in making tourism more sustainable in practice.
GSTC is now establishing a regional office in Singapore to strengthen our presence in Asia and to work more closely with key partners and other stakeholders in the region.
We are looking for an organized and proactive Administrative Coordinator to support the day-to-day operations of the new GSTC Singapore Office.
Position: Administrative Coordinator (Global)
Location: Singapore
Role overview
The Administrative Coordinator supports the daily operations of the GSTC Singapore Office and global operations, including office administration, basic finance, audit and tax support, and coordination of programs and events. The role will work closely with Singapore-based staff, the global GSTC team, and local partners to ensure that the office runs smoothly and that our activities in Singapore and the region are well supported.
Roles & Responsibilities
A. Office and general administration
- Serve as the main administrative contact point for the Singapore office, handling general correspondence, scheduling, and basic office logistics
- Maintain organized digital and physical filing systems for contracts, MoUs, program documents, and staff and partner records
B. Finance and audit support
- Collect, verify, and organize invoices, receipts, expense claims, and payment requests related to Singapore, ASEAN and worldwide activities
- Prepare simple tracking sheets for project and office expenses and submit supporting documents to the global Finance team
- Maintain financial and administrative documentation in a way that supports internal and external audit and goverment requirements
C. Program and event support
- Provide administrative support for Singapore-led training courses and workshops (participant lists, joining instructions, certificates, and basic follow-up)
- Assist with logistics for industry events, forums, and meetings (venue coordination, registrations, materials preparation, attendance tracking)
- Support Certification, Accreditation, and Research staff with basic coordination tasks and documentation
D. Accreditation, compliance, and vendor administration
- Maintain well-organized records and templates used by the Assurance/Accreditation team, in coordination with the global unit
- Support simple contract and vendor administration (updating contact lists, obtaining quotations, tracking key dates for small agreements and services)
- Help ensure that office administrative practices follow GSTC internal policies and basic Singapore requirements relevant to this role
E. Internal coordination support
- Assist with onboarding logistics for new Singapore-based staff (access, documents, introductions, induction schedule, expenses and government report)
- Support the preparation of simple internal summaries and slides for reporting on Singapore office activities
Reporting Relationship
The reporting relationship is to the General Manager.
Qualifications
? Education: Minimum of a bachelor’s degree, preferably in fields related to finance, accounting, or relevant professional disciplines.
? Experience: Minimum of 2 years of working experience in the administration related job.
? Desired skills and profile
- Experience in administrative roles, preferably in an NGO, association, or international organization
- Basic accounting or bookkeeping skills sufficient to support finance and audit documentation
- Strong attention to detail and good organizational skills for handling multiple tasks and stakeholders
- Proficiency with office software (Excel/Google Sheets, Word/Google Docs, email, and online calendars)
- Good written and verbal communication skills in English
- Interest in sustainable tourism and/or sustainability more broadly is an advantage

? Technical Skills:
- Proficient in Microsoft Excel, particularly in organizing data with formulas and functions.
- Intermediate or higher-level user of MS Office and Google Docs.
- Excellent data management skills.
? Language Skills: Proficient in English and Proficient in additional languages, such as Malay, would be considered advantages.
Candidates currently residing in Malaysia or Singapore would be a plus.
