We are looking for a Business Project Management Admin

The role will start out as a contract

Candidates who are immediately available/ able to start work within short notice will be preferred


The Talent


At least 5 years experience as an EA in MNCs in Tech industry (preferred).

Able to manage calendar on multiple time zones.

Experience in supporting multiple leaders.

Flexible and adept to changes.

Ability to handle events, meetings, etc

Generally tech-savvy

Hands-on experience with MS Office tools (eg. PPT and Excel)

Prior project administration/coordination/management experience would be ideal


Job Description



Executive Support


Interact regularly with executive assistants and stakeholders across the organization.

Support managers with administrative assistance (e.g. scheduling of meetings, meeting infrastructure like conference room booking, MS Team, Zoom, travel management etc.)

Support managers with regards to communication tasks, such as team information/announcement/newsletter etc., Portal page and Team folder maintenance.

Experience with building external content for communications and presentations advantageous.

Manage diary/calendar and prioritize / action e-mails for the managers on their behalf and during absence

Act as a central contact person for all employees in the department and provide ad-hoc support if needed

Manage on-boarding processes for new team members (internal and external hires)

Maintenance / update of Corporate Portal page, distribution lists, team servers, collaboration rooms

Prepare and follow up on meetings (taking minutes, tracking and monitoring action items)

Organize business trips, coordinate travel activities, time recording, expense claims for managers

Prepare / organize internal and external meetings / calls / correspondence

Organize team meetings, regional business reviews and events

Prepare and finalize Power Point Presentations for the APAC Regional Leader

Any other duties as per assigned

Administrative Support


Perform a wide range of administrative tasks including correspondence, calendar management, travel coordination, and expense reporting.

Provide liaison support across functions such as Reception/Secretarial, Finance, Marketing, Facilities, and IT.

Coordinate meetings for senior leaders and assist selected team members.

Support marketing and events activities for the team.

Manage staff recognition programs.

Coordinate project status reporting and ensure accurate time reporting and invoicing.
